How Sparados Differs from Common Business Expense Management Platforms

8 min read

Business expense management has evolved significantly. Companies can now replace paper receipts, cash advances and manual reimbursement processes with corporate cards, virtual cards, automated expense reporting and accounting integrations.

European platforms such as Pleo, Payhawk, Spendesk, Soldo, Moss and Rydoo have helped make business spending more digital and easier to control.

However, Sparados takes a broader approach. Rather than focusing exclusively on recording and managing expenses after they occur, Sparados combines programmable virtual cards, expense management, digital vouchers, white-label card infrastructure and digital wallet passes.

This enables businesses not only to manage spending, but also to design, distribute and control payments for specific business purposes.

What makes Sparados different from other business expense management platforms

From Expense Management to Programmable Payments

Traditional expense management platforms are generally built around a familiar process:

Employee spends → receipt is collected → expense is reviewed → transaction is approved → accounting system is updated.

Sparados supports this process, but it also addresses what happens before the transaction takes place.

With us, businesses can issue virtual cards and configure spending rules before the card is used. Depending on the use case, companies can define spending limits, merchant-category (MCC) restrictions and other controls. (Read: How to restrict card transactions?)

This changes the role of a corporate card from simply being a payment instrument into a programmable financial tool.

For example, a company can create a card specifically for:

  • a business trip

  • a particular employee

  • a project or department

  • a defined spending budget

  • a marketing campaign

  • AI tools subscriptions

  • an emergency expense

  • a customer compensation payment

  • an employee benefit

The result is a more proactive approach to expense management: instead of simply asking "What did the employee spend?", businesses can also determine "Where, how and for what purpose can this money be spent?"

This distinction becomes especially important when companies need to distribute funds to customers, employees or partners rather than simply manage their own internal expenses.

A Platform for More than Employee Expenses

Conventional expense management platforms are primarily designed for companies and their employees. Sparados can be used for employee expenses, but its payment infrastructure supports a wider range of business scenarios.

Virtual cards can be configured for specific purposes and distributed to different types of users. This creates opportunities across multiple industries and business models.

Potential use cases include:

  • employee expenses

  • business travel

  • employee benefits

  • rewards and incentives

  • customer compensation

  • insurance assistance

  • travel disruption payments

  • project-specific budgets

  • contractor spending

  • corporate loyalty programmes

This broader approach is particularly relevant for businesses that need to distribute controlled funds to third parties, rather than simply provide employees with corporate cards.

For example, an insurance company may need to provide a customer with funds following an approved assistance event. A travel company may need to provide a passenger with a meal allowance. An employer may want to distribute a digital lunch benefit.

In these situations, the payment itself becomes part of the customer or employee experience.

White-Label Capabilities

One of Sparados' important differentiators is its ability to support white-label payment programmes.

Traditional expense-management software is generally purchased by a company for its own employees. Sparados can also provide the underlying payment infrastructure for another company's product or service.

This means our B2B client can build a branded payment experience while Sparados provides the technology behind it.

This model can be particularly relevant to:

  • employee-benefit platforms

  • HR technology companies

  • insurance companies

  • travel businesses

  • loyalty and rewards platforms

  • fintech companies

  • companies launching their own card programmes

The partner can maintain its own customer-facing identity while using Sparados to support card issuing and payment functionality. This makes Sparados not only an expense-management solution but also a potential embedded-finance infrastructure layer.

Digital Meal Vouchers: Modern Card-Based Vouchering Solution

Digital meal vouchers represent another important area where Sparados differs from conventional expense-management platforms.

Traditional meal vouchers often involve paper documents, QR codes, reimbursement procedures or closed voucher ecosystems. Sparados takes a card-based approach, using Mastercard co-branded virtual cards that can be distributed digitally and used through mobile wallets. This can make the voucher experience more immediate for both the business distributing the benefit and the person receiving it.

A digital meal voucher can be designed for different scenarios, including:

For aviation and travel companies, the model is particularly relevant. When a flight is delayed or disrupted, an airline may need to provide passengers with a meal allowance. Instead of distributing paper vouchers or relying on manual reimbursement, a company can use a digital card-based voucher that can be delivered directly to the passenger's mobile device.

The process can be as simple as:

Disruption occurs → voucher is issued → passenger receives digital card → passenger pays at an eligible merchant.

Because the voucher is based on a payment card, the company can potentially apply predefined spending rules and monitor the resulting transactions. This transforms the traditional voucher from a static document into a digital, controlled payment instrument.

Digital Wallet Pass: Turning the Wallet into a Communication Channel

Sparados also extends beyond payment through its Digital Wallet Pass. For insurance companies, Sparados provides digital passes that can be added to Apple Wallet or Google Wallet without requiring customers to download a dedicated mobile application.

The pass can contain useful information such as policy details, emergency contacts, claim-related information and FAQs. Content can be updated as the customer relationship develops, while notifications can be used to communicate relevant information to policyholders.

This creates an important distinction between a traditional payment card and a Digital Wallet Pass.

A payment card primarily answers:

"How can I pay?"

A Digital Wallet Pass can also answer:

  • What policy information do I need?

  • Who do I contact in an emergency?

  • Where can I find claim information?

  • Has my claim status changed?

  • What information does my insurer need me to know?

The wallet therefore becomes a persistent digital communication channel, rather than simply a place where customers store payment cards.

The combination of a Digital Wallet Pass and virtual payment card can be particularly powerful.

A customer could have their insurance information available in their wallet and, when an approved assistance event occurs, receive a purpose-specific virtual card for an eligible expense.

This creates a connected digital experience spanning information, communication and payment.

A Particularly Strong Use Case: Insurance and Assistance

Insurance illustrates particularly well how Sparados can go beyond traditional expense management.

Insurance companies frequently need to provide customers with financial assistance following an approved claim or assistance event. The challenge is to deliver funds quickly while maintaining appropriate controls over how those funds are used.

Sparados can support purpose-specific virtual cards that can be configured according to the requirements of the payment.

Depending on the use case, controls can include:

  • predefined spending amounts

  • merchant-category restrictions

  • specific spending purposes

  • time limitations

  • digital delivery to the customer's mobile wallet

For example, an insurer could provide a customer with a virtual card following an approved assistance event, with spending restricted to relevant categories such as accommodation, transportation or other eligible services.

The Digital Wallet Pass can provide the communication and information layer, while the virtual card provides the payment layer.

The customer experience can therefore look like:

Insurance Use Case

This approach can reduce the friction associated with traditional reimbursement processes while giving the insurer greater control and visibility. The same infrastructure can be adapted to other industries where companies need to distribute controlled funds quickly.

Transparent Pricing

Sparados also takes a straightforward approach to pricing. Our current pricing model is designed to make the platform accessible to companies that need corporate expense management without complex per-card charges.

Sparados current prices:

  • €20 per account per month

  • First five users included

  • €1 net per additional user per month

  • No fee per corporate card

  • Unlimited virtual cards

This model is particularly relevant for businesses that need to issue multiple virtual cards for different employees, projects or purposes. Instead of treating every additional virtual card as a separate cost centre, Sparados focuses pricing on the account and users.

Sparados vs. Traditional Business Expense Management Platforms

What is Distinctive about the Sparados API?

  1. API-first card infrustructure

Having an API is no longer unusual among modern expense-management platforms. Pleo, Payhawk, Spendesk, Soldo, Moss and Rydoo all provide APIs or API-based integrations in different forms.

The more important question is what the API allows a partner to build.

Sparados provides three integration models: Simple API, Widget API and Full API. This allows partners to choose how much of the customer-facing experience they want to build themselves.

  • With the Simple API, partners can manage cards and balances through the API while Sparados hosts the end-user web or mobile experience.

  • With the Widget API, the partner authenticates users in its own application and embeds the Sparados Card Widget. The widget can display card details and provide Add to Apple Wallet and Add to Google Wallet functionality, while sensitive card data such as PAN and CVV remains outside the partner's backend.

  • With the Full API, the partner can build the entire end-user experience itself. The API supports user creation, card creation, card lifecycle management, card data, transactions, spending controls and authentication flows. Full API integrations can also support 3DS and OTP processes and transaction notifications.

This creates a progression from integration to embedded finance:

Simple API → Widget API → Full API → Partner-owned payment experience

The distinction is that Sparados explicitly structures its API offering around different levels of embedded card infrastructure, culminating in a Full API model where the partner can build its own complete customer-facing card experience.

For companies developing fintech products, insurance platforms, travel services, employee-benefit solutions or other embedded-payment experiences, this can be more relevant than a conventional accounting or expense-data API.

  1. Deep programmatic financial control

While most expense management platforms offer APIs optimized primarily for sync-level accounting and basic receipt capture, Sparados distinguishes itself with a developer-first architecture engineered for deep, programmatic financial control. By incorporating Mutual TLS (mTLS) authentication alongside standard bearer tokens, Sparados establishes banking-grade transport security that exceeds the standard OAuth 2.0 offerings of competitors like Soldo and Rydoo.

Beyond transport security, its API expands administrative capability past simple read-and-sync operations: engineering teams can programmatically execute full approval lifecycle controls, such as dynamically requesting budget increases, initiating card issuance, and placing strict approval locks directly via code. Combined with native ETL data-pipeline readiness for automated database streaming, Sparados turns corporate spend governance into a highly secure, programmable finance engine rather than just another closed SaaS tool.

Why Sparados?

Sparados provides the expense management capabilities which businesses expect from a modern financial platform, but extends them into programmable payments, digital vouchers, white-label card infrastructure and mobile-wallet experiences.

For companies that simply need to record employee expenses, a conventional expense-management platform may be sufficient. For enterprises that want to create, distribute and control digital payment experiences for employees, customers or partners, Sparados offers a broader model.

The future of business spending is not only about knowing where money went.

It is also about deciding how money can be used, delivering it digitally, controlling it in real time and connecting the payment experience with the customer or employee journey.

That is the opportunity Sparados is building around. Ready to transform your corporate finance management? Contact us today!
