How to Integrate Sparados with KSeF and Automatically Match Card Transactions with Invoices

Jul 22
2 min read

Manually matching invoices to business card transactions and tedious expense bookkeeping are now things of the past. Thanks to the integration of Sparados with Poland’s National e-Invoicing System (KSeF), you can fully automate this process, saving tons of time and minimizing the risk of errors.

Here is a step-by-step guide on how to set up the KSeF connection in just a few simple steps and streamline your team’s daily workflow!

Step-by-Step Guide: Integrating Sparados with KSeF

Step 1: Retrieve data from the Sparados Admin Panel

  1. Log in to the Sparados Admin Panel and navigate to the KSeF tab.

  2. Copy the Sparados Tax ID as listed — you will need it to grant permissions in the e-invoicing portal.

Step 2: Grant permissions in the KSeF system

  1. Go to the official National e-Invoicing System (KSeF) portal.

  2. Open the Permissions (Uprawnienia) tab and select Grant Permission (Nadaj uprawnienie).

  3. Set the permission type to: Entity authorized to issue and view invoices (podmiotowi do wystawiania i przeglądania faktur).

  4. In the entity details field, paste the copied Tax ID and enter the full company name: Sparados S.A.

  5. Select the permission scope for viewing invoices and click the Grant Permissions (Nadaj uprawnienia) button.

  6. Refresh the page to confirm that the permissions have been granted successfully.

Step 3: Enable the integration in Sparados

  1. Return to the KSeF tab in your Sparados dashboard.

  2. Click the Enable KSeF button.

And that’s it! Your Sparados account is now connected to KSeF.

How Does KSeF Invoice Matching Work?

Once the integration is enabled, you gain direct visibility into purchase invoices pulled directly from KSeF, along with the ability to instantly match them with transactions made via Sparados cards.

The overview table displays all key details:

  • Purchase e-invoice number (retrieved directly from KSeF)

  • Green "Transactions" action button – used to directly link a selected e-invoice to its corresponding Sparados corporate card payment

  • Merchant name

  • Merchant Tax ID

  • Net and Gross amounts from the invoice

Summary

Integrating Sparados with KSeF eliminates manual data entry and payment categorization, significantly speeding up your company’s accounting processes.
