Correcting Invoices in KSeF: Navigating the End of Correction Notes in Poland

Apr 8
5 min read

In the era of KSeF, traditional correction notes are becoming a thing of the past. The system does not allow for the editing or cancellation of an e-invoice once it has been sent, forcing a new level of discipline on businesses. Any error - from an incorrect tax ID (NIP) of the buyer to mistakes in VAT rates, quantities, or prices - requires the issuance of a corrective invoice. Learn what elements such a correction must contain, how to navigate this process within the system, and how to effectively rectify errors on structured invoices.

How to correct an invoice in KSeF

What Does Invoice Correction in KSeF Look Like Today?

As of 2026, the National e-Invoicing System (KSeF) is an established reality for entrepreneurs in Poland. Its primary goal is to provide tax authorities with full control over document circulation. However, this system architecture means that businesses have had to bid farewell to solutions that were standard for years. Currently, the method for correcting invoice errors is strictly regulated because, within KSeF:

  • Editing a submitted invoice is impossible – once a document is sent and assigned an identification number, the e-invoice becomes immutable.

  • Cancellation or deletion does not exist – every invoice that reaches the Ministry of Finance platform remains there permanently, even if it contains errors.

  • Correction notes are a thing of the past – the system does not support this type of document, meaning minor data errors can no longer be rectified by the buyer.

In practice, this means that every error in a structured e-invoice—whether it is a typo in the name or an incorrect VAT rate—requires the issuance of a corrective invoice and its submission to the system. This is currently the only permissible form of document correction.

KSeF Correction Rules – The Three Pillars of Correct Settlement

Before analyzing specific cases, it is essential to understand the foundations of modern document correction. Since the full implementation of KSeF, the rules of the game have been clear and uncompromising.

Farewell to Correction Notes – only Corrective Invoices matter now

This is the most significant regulatory change in 2026: the buyer no longer has the tools to independently rectify errors. Correction notes have disappeared from legal turnover, meaning that even the smallest mistake in a name or address requires the seller to issue an official corrective invoice. Every error, even a cosmetic one, must pass through the system as a new structured document.

The system checks format, not mathematics

Many mistakenly assume that KSeF will catch errors in amounts. This is not the case. The Ministry of Finance gateway acts as a "format guardian"—it only verifies if the XML file is technically sound. If you enter the wrong VAT rate or miscalculate totals, the system will accept the document without hesitation. The responsibility for mathematical accuracy still rests with you and your invoicing software.

Precise Matching: The type of correction matters

In the current FA(3) structure, there is no room for ambiguity. You must strictly assign the document to one of three categories, which determines the data fields you must complete:

  • KOR – the standard path for basic and simplified invoices.

  • KOR_ZAL – a dedicated mode for advance payment (pro-forma) invoices.

  • KOR_ROZ – the corrective path for final settlement invoices. Selecting the wrong document type is the fastest way to have a correction rejected by the system or to face issues during an audit.

How to Issue an eCorrection in KSeF? A Practical Procedural Guide

Issuing corrective invoices in a structured system requires precision. An error in the document type or an incorrect link to the original invoice may result in the file being rejected by the Ministry of Finance gateway.

The Issuance Procedure: 4 Steps to a Correct Correction

Before sending a document to the system, follow this path:

  • STEP 1: Diagnose the error. Determine if the correction concerns amounts, address data, or perhaps an incorrect NIP. The type of error determines how the fields in the XML structure are filled.

  • STEP 2: Select the correct document type. According to the FA(3) structure, you must assign the appropriate code: KOR, KOR_ZAL, or KOR_ROZ.

  • STEP 3: Link the correction to the original. In the DaneFaKorygowanej section, you must provide the KSeF identification number of the original invoice. For collective corrections, you can enter up to 50,000 items here.

  • STEP 4: Submission and verification. Send the file to KSeF. The document becomes legally binding (and visible to the buyer) only when it is assigned an official system number.

How to React to Specific Errors?

  1. Errors in amounts, VAT rates, or quantities

This is the most common case (line-item correction). You issue a KOR type document, indicate the original KSeF number, and apply corrections at the level of specific items or the summary. As of 2026, the settlement of in-minus corrections for VAT purposes is strictly tied to the date the corrective invoice is assigned a KSeF number.

  1. Incorrect Buyer NIP (Special Procedure)

This is a critical error that cannot be fixed with a simple data correction. Since the system has already delivered the invoice to the entity identified by the (incorrect) NIP, you must:

  1. Issue a "zeroing-out" correction with the incorrect NIP (to neutralize the effects for the unintended recipient).

  2. Issue a completely new invoice with the correct NIP for the actual counterparty.

  1. Descriptive errors (name, address)

If the NIP is correct and the error is only in the company name or address, the process is simpler. You fill in the Podmiot2K section (old data) and the Podmiot2 section (corrected data). Note that this path is exclusively for correcting typos and data that does not identify the entity.

  1. Updating seller data

If your company changed its address or name after the invoice was issued and you wish to update it:

  • Fill in the Podmiot1K section with your data from before the change.

  • Enter the new data in the Podmiot1 section.

Specialized Corrections: Advances and Collective Rebates

  1. Correction of Advance and Settlement Invoices

For these documents, the technical logic of the FA(3) structure is key. Remember to use the dedicated KOR_ZAL or KOR_ROZ codes and complete the specific fields regarding the order or final invoice lines.

  1. Collective Correction (e.g., periodic rebate)

The ideal solution for granting monthly or quarterly bonuses. You can correct multiple transactions with a single e-invoice:

  • Full flexibility: You can correct invoices issued within KSeF as well as older ones (from outside the system).

  • Simplification: If the rebate applies to all items, you do not need to list every product separately—the FA(3) structure allows you to omit the FaWiersz section.

  • Scale: The system allows linking one correction to a massive number of original documents, significantly accelerating accounting work.
