A New Level of Spending Control in Sparados: Selective Card Visibility for Group Admins

Updated: 1 day ago

Sparados expands corporate card management capabilities with functionality that strengthens data control and simplifies the work of group administrators in larger organizations. Each administrator can now manage only cards assigned to their group and the groups below them, both at the data viewing level and for administrative actions.

In practice, this means that the person responsible for budgets in the Marketing department only sees cards assigned to the marketing team or lower sub-departments. If the company has a separate sales structure with its own administrator, the sales team cards will be completely invisible to marketing.

The new solution eliminates the risk of errors in card management, limits access to sensitive data and simplifies work on cost control within individual departments.

Change in the Sparados Client Panel - Why is It Important?

Sparados is a platform for managing corporate expenses and virtual cards - it allows you to instantly generate company cards, set limits, assign cards to employees or teams, report and automate settlements.

Previously, the system allowed for centralized card and expense management, which worked well for smaller and medium-sized organizations. However, larger companies—with multiple departments, teams, and separate budgets— needed precise control over card access and the separation of who sees and manages expenses. A new feature in the Sparados administration panel perfectly meets these customer needs.

What's New in Sparados - Group Administration and Limited Card Visibility

  • The corporate administrator (main) can create groups and subgroups - e.g. departments or teams - and assign employees and cards to them.

  • You can set limits for each group: the maximum number of cards, the maximum amount that can be allocated, as well as spending or top-up limits.

  • New: Group admins only see cards assigned to that group; cards assigned by other group admins are invisible to them. This means, for example, that a Marketing admin won't see cards or transactions from the Sales team if Sales has a separate admin.

How it Works in Practice - Use Case

Let's assume that Sparados' client is a company with several departments (Sales, Marketing, HR, IT) and independent expense management structures:

  • The “Sales” administrator manages cards assigned to members of the “Sales” department (sets limits, assigns specific accounts, monitors transactions).

  • The "Marketing" administrator is only responsible for marketing cards.

  • Thanks to the new functionality, each of them sees only their own part: no one from the Marketing department has access to the Sales cards - and vice versa.

Groups in the Sparados client panel

The Sparados system allows for restrictions on account visibility, the number of cards issued and the maximum card limit per group.

Group in the Sparados administration panel

The group called "Group Marketing Department" has access to only two accounts. The EUR account can only assign 30 cards until it's changed, and each card can be issued for a maximum of €1,000. Similarly, the PLN account can issue a maximum of 50 cards—10 cards per week up to 50,000 PLN.

The system allows you to create a ladder (pyramid) on up to four levels. This separation increases security, reduces the risk of limit overrides or accidental card use by other departments, and facilitates internal cost and accountability control.

Why is It Worth Deploying - the Benefits of a New Approach

  • Better control and transparency - company expenses are visible only where necessary, preventing "seeing through" other departments' finances.

  • Security and compliance with the "need-to-know" principle - each administrator has access only to the data of his or her group.

  • Scalability for larger companies - the group and limited visibility feature makes Sparados better suited to complex organizational structures.

  • More effective budget and expense management - group limits and cards assigned to teams facilitate cost control and reporting.

How to Set Up Groups in Sparados

  1. In the administration panel, go to: Management → Groups → Add group .

  2. Specify the name of the group and its place in the hierarchy (e.g. main department, subdepartment).

  3. Assign employees to a group and (optionally) specific bills or accounts that this group will be able to service.

  4. Set limits: maximum number of cards, amount, and optional periodic limits.

Thanks to this, you have a ready-made structure in which each administrator is responsible only for his or her team or department - and only sees the assigned cards.

How Sparados Responds to Client Needs

The new option of limited card visibility is a solution designed specifically for companies operating with complex organizational structures. In multi-divisional enterprises, capital groups, or corporations with separate cost centers, the budget management process is complex and involves multiple administrators. Each department pursues its own goals, settles separate projects, often operates in different currencies, or conducts internal settlements between units.

In this reality, it's crucial that those responsible for departmental spending have access only to the cards and data they're actually supposed to manage. Eliminating access to other teams' cards reduces the risk of errors, unwanted limit changes, or accidental viewing of confidential financial data. Each administrator operates within a clearly defined scope of responsibility, and individual unit budgets remain fully autonomous.

As a result, Sparados not only streamlines cost management decentralization but also enhances financial transparency within the organization. Data is precisely where it should be - accessible to the right people and protected from unauthorized access. This combination of transparency, security, and accountability allows companies to account for their expenses more transparently, in line with auditability, compliance, and internal control principles.
